Privacy Policy
Krewss BI ("we", "us") is the business-intelligence service of the Krewss operations platform, operated by Kamakshi Clouds. This policy explains what information Krewss BI processes when you use the web application at bi.krewss.com or the Krewss BI assistant inside ChatGPT, and how it is protected.
1. Who can use Krewss BI
Krewss BI is available only to people who already have a Krewss account issued by their organisation (a hotel or property operator) and who have been granted Krewss BI access by that organisation's administrator. There is no self-registration.
2. Signing in from ChatGPT
When you use the Krewss BI assistant in ChatGPT, ChatGPT asks you to sign in with your Krewss credentials on a page served by Krewss (Sign in with Krewss). Your password is verified by the Krewss platform and is never shared with OpenAI or stored by the assistant. After sign-in, Krewss issues an access token (valid 24 hours) and a refresh token (valid up to 90 days) that identify you and your organisation. Every request the assistant makes runs as you, with your own permissions.
3. Information we process
- Account information — your name, email or employee ID, role, department and permissions, as recorded in your organisation's Krewss account, used to authenticate you and decide what you may see.
- Operational data of your organisation — tasks, SOP submissions, campaigns, crew attendance status, guest requests and in-house guest lists, and Google reviews of the property, all of which originate in the Krewss platform and your property's own systems. Krewss BI reads this data; it does not create or change it.
- Usage records — which person connected from ChatGPT, when, and how many requests were made, so administrators can review and revoke access.
4. How the ChatGPT assistant uses data
When you ask the assistant a question, ChatGPT calls Krewss BI's read-only interface and receives only the data needed to answer — figures, lists and records from your organisation. That data is shown to you inside ChatGPT. OpenAI processes your conversation under its own terms and privacy policy; Krewss does not control OpenAI's handling of conversation content. Krewss BI never writes to your Krewss data, never sends data to third parties other than the service you are using (ChatGPT) and never uses your data to train models.
5. Access control
All data is scoped to the organisation you belong to. Only the organisation owner, and people explicitly granted a Krewss BI permission, can sign in. Administrators can see who has connected from ChatGPT in Krewss BI → Setup and can disconnect any person at any time; disconnection invalidates their tokens immediately.
6. Retention
- Access tokens expire after 24 hours; refresh tokens after 90 days, or immediately when revoked.
- Connection and usage records are kept while the account remains connected and for administrative review thereafter.
- Operational data is retained by the Krewss platform under the organisation's agreement with Krewss; Krewss BI keeps derived analytics (daily roll-ups, repeat-guest index, review snapshots) for up to 13 months.
7. Security
All traffic is encrypted in transit (HTTPS). Data is stored on Google Cloud (Firebase / Cloud Run) in access-controlled projects. Tokens and access keys are stored hashed. Only authorised Krewss engineering staff can access production systems, for support and maintenance.
8. Your rights
You can ask your organisation's administrator to disconnect your ChatGPT access or remove your Krewss BI permission at any time. For questions about your personal information, corrections, or deletion requests, contact us at support@kamakshiclouds.in. Requests concerning operational data held on behalf of an organisation are handled together with that organisation.
9. Changes
We may update this policy as Krewss BI evolves. The effective date above changes when we do; material changes are communicated to organisation administrators.
